Oval Policies + Etiquette

Please respect your fellow members and abide by the following club policies and etiquette guidelines. Members or guests who fail to abide by these, and all other posted policies pertaining to facilities and programs, may have their membership privileges revoked.

Membership + Drop In

Membership Terms

Definitions

The Richmond Olympic Oval at 6111 River Road will here and thereafter be referred to as “the Facility”.  The Richmond Olympic Oval Corporation, its representatives and assignees will be referred to as the “Operator”. The “Release” form shall mean the Assumption of Risks, Informed Consent, Release of Liability, Waiver of Claims and Indemnity Agreement.  “Agreement” shall mean the contents of the   Membership Agreement and the Release form. “Member” shall mean the person who has signed the Agreement. Member use of the Facility and services will be governed by the Agreement.

Membership Terms & Payment

Please be advised that different agreement terms and fees apply for different membership/pass options. In the event that the membership plan discount no longer applies, your rates will be adjusted accordingly by the Operator.

**Monthly Continuous Memberships are continuous memberships that do not have an expiry date.

Membership Fees

In consideration of the Operator granting the Member immediate membership, the Member shall pay a fee. Failure on the Member’s part to take advantage of the privileges of membership shall notrelieve the Member from payments due.

Automatic Fees

The Member authorizes the Operator to adjust payments for any changes in applicable taxes, such as a Goods and Services Tax (GST) and Provincial Sales Tax (PST).

Pre-Authorized Payment Options

The Member authorizes the Operator to deduct monthly membership fees from a valid Credit Card (Visa, Mastercard or American Express), or directly from a bank account at an accredited financial institution. The Member is responsible for any bank/financial institution charges incurred due to insufficient funds and/or an invalid card. Amounts not paid in full withi n ten

(10) days of the Member’s due date will be subject to a payment charge of 5% of the unpaid amount and $50.00 collection charge.

Services Included

 Unless indicated otherwise, Operator agrees to provide the following services to the Member during regular hours of operation:

  • Access to the facility during regular hours of operation; fitness Equipment, drop-in fitness classes, climbing wall, sport courts, tracks, and rinks at scheduled times.

Operator has the right to add or take away inclusions to the membership without any notice.

Membership Holds and Cancellations

The Member may place their membership on hold up to twice per calendar year for a cumulative maximum of four (4) months. All membership privileges will be suspended during the hold period. Annual Paid in Full Memberships placed on hold will be extended the length of the hold period. Requests for membership holds must be submitted in writing using the form requested by the Operator at least five (5) business days prior to the hold start date and must specify the duration of the hold period. A $10.00 administrative fee for each full or partial month of the hold period must be paid in advance at the time the hold request is submitted. Membership holds cannot be backdated. Membership holds requested for a medical condition preventing use of the Facility must be accompanied by a doctor’s note. Any requests during a hold period for an extension of the hold period will be treated as a new request for a new hold period. This hold period policy may be amended by the Operator at any time on notice to the Member.

The Member wishing to cancel their membership must submit their cancellation in person at the Facility, at least 5 business days prior to the requested cancellation date. A charge to cover the administration of the membership cancellation must be paid at the time the cancellation request form is submitted. Cancellation fees will only be waived for active memberships of twenty-four (24) consecutive months or longer, including holds, or if the Member provides the Operator written evidence of: (i) a medical condition preventing use of the Facility, or (ii) a change of residence to a location more than 30km from the Facility. This cancellation policy may be amended by the Operator at any time with 30 days notice to the Member. A fee of $150 will be charged for memberships cancelled within twelve (12) months of the initial activation date. A fee of $75 will be applied to all memberships cancelled between twelve (12) – twenty-three (23) months of the initial activation date. Upon approved payment of the charge, and any remaining unpaid balance on the account, the cancellation will be processed as per the cancellation date stipulated on the form. Any One Month Passes, Ten Visit Passes, or promotional memberships are not eligible for holds, cancellations, extensions, or returns. Cancellations and Holds will not be accepted by phone.  Annual Paid in Full Members will be refunded a pro-rated amount based on the time remaining on their membership, less the cancellation fee.

Cancellation Within 10 Days:

This is contract to which the Business Practices and Consumer Protection Act applies, Section 21 (1). The Member may cancel this contract from the day the Member enters the contract until 10 days after the date of first purchase. A reason for cancelling is not required. To cancel, the Member must give notice of his/her cancellation in person at the Facility. Refunds will be calculated based on usage during the 10 day period.

Membership Rates

Membership rates are subject to change. Should there be any fee increases in membership, it will take effect on the membership anniversary date. The Member will receive notification of a fee increase at least 30 days in advance. It is the Member’s responsibility to inform the Operator of any changes in their mailing address, credit card information or emailaddress..

Other Fees

There will be a $25 replacement fee for lost or stolen Membership Cards. The Member must be in good standing with proof of identification to be eligible to have a replacement card issued. There will be a $15 replacement fee for lost or stolen locker keys which must be paid prior to any locker being opened by the Operator.

Applicable taxes will be applied.

Breach of the Terms of this Agreement

If the Member fails to do any of the following: a) fails to make any payment required by this Agreement b) breaches any material term of this Agreement OR c) fails to adhere to the Operator’s policies, procedures, or code of conduct, the Operator may, at its sole option declare this Agreement terminated and the Member shall not be  entitled to claim any damages, reimbursement, compensation or remuneration of any kind in respect of such termination.

Privacy

The Operator collects and uses the Member’s personal information primarily for the purpose of providing the Member with requested programs and services. The Operator may also contact the Member from time to time about their membership account or to conduct market research and surveys in an effort to continually improve the Operator’s product and service offerings. The Operator may share the Member’s information with select third parties who are acting on the Member’s behalf as their agents, suppliers, or service providers. The Operator or this third party may conduct personal credit investigations, or report the Member’s account information to a reporting bureau for the purposes of collecting overdue amounts and updating appropriate credit information.

Representation

The Member represents and warrants to the Operator that all information supplied by them on the contract is true and that the Member is physically able to use the Operator’s services and/or the Facility.

Cancellation By Operator

The Operator reserves the right to cancel, reschedule or alter facility usage in the event  that conditions arise that necessitates cancellations or alterations, including,without limitation: strikes, lockouts, fire, flood,  interruption of utility service, earthquake or other “acts of God”, war, terrorist acts or other events beyond the reasonable control of the Operator . In the event of such cancellation, rescheduling or alteration, the member shall have no claim against the Operator for damages.

Force Majeure

In the event of a major emergency (e.g. earthquake, fire, flood) in the area, the Facility may be taken over, without notice, by the City of Richmond for the implementation of an emergency plan and the Member shall have no claim against the Operator for damages.

Entire Agreement

The Member acknowledges that this Agreement, and any other forms completed at the same time, constitute the entire understanding between the Member and the Operator, and that no other understanding or agreement exists between the Member and the Operator, and that neither the Operator nor any of its representatives or employees have made any expressions or implied warranties or representation of any kind to induce the Member to enter into this Agreement, (including without limitation that the Operator’s programs, facilities, or advice have been or are approved by any medical authority) other than those warranties or representation set forth in this Agreement.

If any portion of this Agreement is held to be invalid, the remainder of the Agreement shall remain in full force and effect.

Hours of Operation

The hours of operation may change subject to public response and requirements of the Operator. During regular hours of operation there is potential that maximum capacity could be reached, should this occur the Operator retains the right to limit service.

Alcohol and Smoking

The Member shall not bring or consume alcoholic beverages in the Facility except in a licensed restaurant. Smoking is prohibited on Facility property.

Music

The Member shall not broadcast music in the Facility without the prior approval of the Operator. The Member agrees that music sound volumes shall be kept to a reasonable level (in the opinion of the Operator).

Personal Conduct During Your Visit:

The Member agrees to abide by the following:

  1. The Member shall comply with all rules and regulations of the Facility.
  2. The Member shall use the Facility solely for the purposes permitted in this Agreement, and for no other purpose. The Member shall be held financially responsible for any damage to the Facility or loss of or damage to of any equipment resulting from the Member’s use of the Facility.
  3. The Member’s use of the Facility shall not cause unreasonable interference with the orderly functioning of the Facility or infringe upon the rights or privileges of other users of the Facility.
  4. The Member’s use of the Facility shall not promote hatred or discrimination against, or expose to contempt, any person or group of persons contrary to applicable law.
  5. The Member shall act in a considerate, legal and sportsmanlike manner when using or occupying the Facility. Abusive language or illegal or inconsiderate behaviour may result in the cancellation of the Member’s rights to use the Facility. The Member shall comply with all rules and regulations established from time to time by the Operator.
  6. The Operator shall have the right at any time to eject the Member from the Facility or to refuse admittance thereto of any person or persons who, in the opinion of the Operator is or are creating a disturbance or behaving in an illegal, objectionable or improper manner. The Member agrees that while participating in the Facility the Member’s conduct will at all times be such that it presents no danger to other Members or staff, and does not interfere with the enjoyment of other Members or staff, or disrupt the staff in performing their duties.
  7. The Operator reserves the right to take whatever action deemed necessary to ensure that the Member complies with Facility rules, regulations and privileges. The Operator, may, in its absolute discretion, suspend or cancel the rights and privileges of membership of the Member for any reason at any time.
Assignment

The Member may not assign the Member’s rights hereunder. In consideration for the Operator permitting the use of the Facility by the Member, the Member agrees to the following terms and conditions:

Indemnification:
The Member shall indemnify, defend and save harmless the Operator, Facility,the City of Richmond and their respective officers, employees, agents.contractors, successors and assigns from and against any and all losses,claims, actions, damages, liability, costs or expenses, including legal fees on an indemnity basis, claims for personal injury or death, property damage,or any other loss or damage (the “Losses”) arising out of or caused by any breach of the terms of this Agreement and the Member’s use of the Facility.

Release and Waiver of Risk:
The Member shall use the Facility at the Member’s own risk and agrees that the Operator has made no warranties or representations respecting the condition or suitability of the Facility for the Member’s proposed use. The Member hereby releases the Operator, Facility, the City of Richmond and their respective officers, employees, agents, contractors. successors and assigns from any and all losses incurred or suffered by the Member which arise directly or indirectly out of the Licensee’s use and occupation of the Facility.

Use of Oval by Children/Youth

Children’s Usage Policy

The Richmond Olympic Oval is committed to providing all members with a safe and enjoyable experience. With this in mind, parents and caretakers are responsible for the supervision and appropriate behaviour of their children, at all times, in all areas of the Oval.

General:

• Children under the age of 12 must be accompanied at all times by a parent or other responsible person 18 years of age or older, unless in a supervised, registered program (i.e. skating lessons).
• Children under the age of 13 years must be accompanied by a parent or other responsible person in the locker rooms.

Court, Track and Ice – Activity Level:

• Children under the age of 12 must be accompanied at all times by a parent or other responsible person 18 years of age or older, unless in a supervised, registered program (i.e. skating lessons).
• Children under 12 years, participating in a public skate must be accompanied by a parent or other responsible person 18 years or older.

Fitness Centre:

Patrons aged 13-14 years:
• Access to the Fitness Centre is limited to those members 13 years and older.
• Patrons 13-14 years must have completed a teen orientation prior to using the Fitness Centre.
• Members aged 13-14 years must be under the direct supervision of a parent or other responsible person 18 years of age who has paid for admission. The person providing this supervision must be “within arm’s length” of the 13-14 years old at all times.

Members aged 15 years and older:
• Members aged 15 years and older must complete an orientation to the Fitness Centre equipment and must behave responsibly while at the Richmond Olympic Oval.

Sport Facilities

Skating Code of Conduct

  • Respect Oval staff and others. The Oval staff are here to ensure your skating time is safe and enjoyable. Please respect their duties and responsibilities of keeping all patrons safe.
  • CSA approved multi-impact hockey helmets are required for all skaters age 12 and under.
  • Control your skating speed. Slower skaters and those with scooters should keep to the outer section of the ice. Please be aware of other skaters around you.
  • Speed skating is not permitted during public skating sessions.
  • Skating direction. Skaters must always skate in the direction designated by Oval staff.
  • Protect your skates. Skates must be worn on approved surfaces only. Skaters are not allowed on the concrete or on the bleachers.
  • Shoes are not permitted on the ice. All patrons must wear skates while on the ice.
  • Skaters are not permitted to sit on the boards.
  • Please refrain from bringing food and beverages onto the ice.
  • Avoid carrying children. For everyone’s safety, please refrain from carrying children while on the ice.
  • Skaters should always avoid carrying any personal items while on the ice.
  • Please report injuries and first aid situations to Oval staff immediately. 

Court + Track Zone Code of Conduct

  • Please Respect Oval Staff & Others. The Oval Staff are here to ensure you have a safe & enjoyable time. Please respect their duties & responsibilities.
  • With the exception of water, food and beverages are not permitted on the Courts or Track.
  • Participants without athletic attire and athletic footwear are not permitted on the Courts or Track.
  • Oval Staff only may adjust and move equipment.
  • For your safety please follow & respect all the posted signs & barriers.
  • Rentals may only access their allotted space. Utilization of other areas is prohibited.
  • Please share the Courts & Track Zone with fellow members.
  • Equipment lending is only permitted with a Member Card or Government ID to be held until equipment is returned.
  • The Richmond Olympic Oval is a family environment. Please refrain from using foul language.
  • Oval Staff are First Aid trained. In case of injury please contact them. 

Climbing Code of Conduct

Respect Oval Sport Climbing Staff and others. Oval Staff are here to ensure your climbing time is safe and enjoyable. Please respect their duties and responsibilities of keeping all patrons safe.

Rules

1)    All climbers must sign a waiver and scan in at the sport desk before climbing.

2)    Top-Rope and Lead “Checks” are required.

a.      Top-Rope Belaying and Lead Climbing/Belaying are only permitted after conducting the associated “Check” and Safety Orientation with an Oval Sport Climbing Staff member.

b.     Accepted Belay Methods

Any method that meets the following minimum criteria is acceptable:

1.     The chosen device has adequate friction for vertical to overhanging terrain. (body belay and figure 8 in “sport” mode do not have sufficient friction).

i.            Acceptable devices include: munter hitch, all CE approved in-line belay devices, Figure 8 in rappel mode, gri-gri, cinch, smart, eddie.

2.     A brake hand remains on the braking strand at all times.

3.     A maximum of time is spent in the braking position for the chosen device.

4.     The rope is moved through the device in a manner efficient enough to keep up with the climber.

c.       Accepted Knots for Tie-In

  1. Figure 8 follow through.
  2. Bowline with double fisherman’s back up.
  3. Ring bend.

d.      Climbers who have completed a Top-Rope Belay Check must display membership card with “TR” sticker in a visible position on the back of your harness.

e.      Climbers who have completed a Lead Check must display membership card with “LC” sticker in a visible position on the back of your harness.

3)    Bouldering, Lead Climbing, and Top Rope Climbing availability is at the discretion of Oval Sport Climbing Staff.

4)    Lead Climbing Guidelines

a.      Lead Climbing permitted on designated lead routes only.

b.      The ropes immediately adjacent to a lead climber on both sides are not to be used while lead climbing is in progress.

5)    Bouldering

a.      Bouldering is only permitted in the designated Boulder Zone over the raised crash mats.

b.       Climbers unfamiliar with Bouldering are encouraged to ask Oval Sport Climbing Staff for instruction in proper landing

and spotting technique.

c.       Bouldering Height is 14ft with the hands.

d.      Check your Landing before jumping down from Boulder Zone.

6)    Youth

a.      Children 5 -12 years must be accompanied on the climbing floor by an adult over the age of 18.

b.      Belayers must be 13 years and older.

c.       Climbers under the age of 13 are only permitted to belay in registered programs.

d.      Climbers under the age of 16 are only permitted one non-belaying guest.

7)    General

a.      NO Cell Phones on the climbing floor.

b.      Do not write on the walls with chalk or anything else.

c.       Please put bags/extra gear in the cubbies or lockers provided.

d.      Mats and Ropes are for protecting falls.

Please Do Not:

1.                        Run, jump, wrestle, tumble, eat or drink on the climbing floor.

2.                        Swing on or pull the ropes.

Fitness Facilities

Fitness Centre Rules + Regulations

  • Age Restrictions –Patrons 13 -16 years of age must complete a youth consultation with our fitness staff. Patrons 13 and 14 years of age must be supervised by a parent or guardian.
  • Proper athletic attire including closed toed athletic shoes must be worn.
  • Food is not permitted in the fitness centre. Water and sport drinks must be in a re-sealable container.
  • Bags are not permitted in the fitness centre. Small mesh bags to hold fitness accessories available for sign-out at the fitness desk.   All other personal belongings must be stored in lockers or cubbies provided.
  • External personal trainers are not permitted, for liability and legal purposes.
  • Limit your mobile phone use and be respectful of those around you. Turn ringer off, and take conversations outside of the fitness centre.
  • Refrain from wearing fragrances.
  • Limit cardio use to 30 minutes during busy periods.
  • Wipe down all equipment after use.
  • Collars are mandatory when using freeweight bars. See fitness staff if you require spotting assistance.
  • Re-rack your weights and return all equipment to its proper place after use.
  • Share equipment with other members. Allow others to “work in” when resting between sets.
  • Sport equipment is not permitted (ie. Balls, rackets, etc). Please store in lockers provided.
  • Foul language or inappropriate behaviour will not be tolerated.
  • Collateral is required to borrow equipment. See fitness staff for details.

Fitness Staff are dedicated to ensuring a safe and positive training environment for all members and guests. Your cooperation is appreciated.

About External Training:

Richmond Olympic Oval does not permit external personal trainers to use Oval facilities for the purpose of training clients, guests, or Oval members. This rule is in place for liability and legal purposes. Personal training within the Richmond Olympic Oval is performed exclusively by highly trained and certified trainers staffed by the Richmond Olympic Oval.  Any participant who is conducting or is suspected of conducting personal training with a guest or member at the Oval who is not an Oval personal trainer, will have their membership or visit privileges reviewed, suspended and/or revoked.

An individual may be suspected of personal training if he/she does (but is not limited to) any of the following:

  • Assisting a guest/member or group with equipment and adjustments.
  • Writing and/or designing a program for a guest/member or group.
  • Explaining, cueing and providing exercise technique to a guest/member or group.
  • Meeting with the same individual or group on a frequent basis.
  • Meeting with several different individuals or group within a given time period.
  • Directing exercise order for a guest/member or group.
  • Collecting or receiving payment from a guest/member or group for a session.
  • Assisting a patron with spotting, technique, or any specific instruction, but not exercising with that individual.

Group Fitness Studio Etiquette

  • Please arrive early to allow yourself time to change and set up your equipment.
  • Proper athletic attire including non-marking, closed toe running shoes is required.
  • Please inform the instructor of any past or current injuries/health conditions or if you are taking medications that may affect your ability to perform certain exercises.
  • Please wipe down your mat after use.
  • Return all equipment to its proper place after use.
  • Kindly turn off your cell phones/pagers for the duration of the class.
  • Please avoid wearing cologne or perfume.

Rowing/Spinning Room Etiquette

  • Participants must be a minimum of 16 years of age.
  • No food or drink, other than water, is permitted in the studio.
  • Please arrive early to allow yourself time to change and set up your bike or erg.
  • Proper athletic attire including non-marking, closed toe running shoes is required.
  • Please inform the instructor of any past or current injuries/health conditions or if you are taking medications that may affect your ability to perform certain exercises.
  • Please wipe down the equipment and surrounding floor area after use.
  • Kindly turn off your cell phones/pagers for the duration of the class.
  • Please avoid wearing cologne or perfume.
  • The Richmond Olympic Oval is not responsible for lost or stolen items.

Kinesis Room Etiquette

  • Participants must be a minimum of 16 years of age.
  • Please arrive early to allow yourself time to change and get settled.
  • Proper athletic attire including non-marking, closed toe running shoes is required for Kinesis Circuit and other aerobic/athletic classes.
  • Please inform the instructor of any past or current injuries/health conditions or if you are taking medications that may affect your ability to perform certain exercises.
  • Please wipe down your mat/Reformer after use.
  • Kindly turn off your cell phones/pagers for the duration of the class.
  • Please avoid wearing cologne or perfume.
  • The Richmond Olympic Oval is not responsible for lost or stolen items.

Mind/Body Studio Etiquette

MIND/BODY STUDIO ETIQUETTE

  • Participants must be a minimum of 16 years of age.
  • No food or drink, other than water, is permitted in the studio.
  • Late entry into yoga classes is not permitted. Please arrive before your scheduled class to allow yourself time to change and get settled. Out of respect to other participants and the instructor, please refrain from knocking on the door once it has been closed.
  • The mind/body studio is a quiet space. Please speak in a lowered voice and turn off your cell phone/pager for the duration of the class.
  • As a safety precaution, it is recommended that students remove all footwear including socks during their yoga practice.
  • Students are advised to wear comfortable clothing that is not too constricting or too loose.
  • Please inform the instructor of any past or current injuries/health conditions, or if you are taking medications that may affect your ability to perform certain exercises.
  • Please wipe down your mat after use.
  • Please return all props to the storage area in a neat and tidy fashion.
  • If you have to leave early, please inform the instructor prior to the start of class. Informing the instructor in advance will allow her/him to advise you of the appropriate time to exit the class.
  • Please avoid wearing cologne or perfume.

Programming

Program and Camp Refund + Cancellation Procedures

Program and Camp Refund + Cancellation Procedures

Programs and Camps are structured in different timeframes and have different refund and cancellation policies. Programs typically are sessions that occur over multiple weeks, while camps are subsequent days within a single week or in the case of Pro-D Camps a single day.

Programs Refund + Cancellation Policy:

Registrants are eligible to receive a full refund if the request to withdraw from a program occurs more than seven days before the scheduled start date. If the registrant requests to withdraw within seven days of the program start date, an administrative fee of $25.00 will be applied to all refunds.

Please note no refunds or credits can be issues after the end of the second session of the program.

Fitness Leadership and First Aid Refund Policy:

No refunds or credits will be issued for Fitness Leadership and First Aid courses, if the request to withdraw from the course occurs within seven days of the program start date.

Fees for one day programs/camps or weekend workshops are non-refundable.

Camps Refund + Cancellation Policy:

All Winter Break Camps are non-refundable or transferrable after December 1.

All Spring Break Camps are non-refundable or transferrable after March 1.

All July Summer Sport Camps are non-refundable or transferrable after June 1.

All August Summer Sport Camps are non-refundable or transferrable  after July 1.

Refunds

Training Sessions (Individual, Partner, Trio, Small Group) Registrants are eligible to receive a full refund if the request to withdraw from a program occurs more than 14 days before the scheduled start date, minus an administration fee of $25 (+tax). If the registrant requests to withdraw within 14 days of the program start date, a refund for the program may be processed less the charge of one session and an administration fee of $25 (+tax). After two sessions into the program there will be no refund, unless the registrant presents a certified medical reason.

Team Training Programs
Registrants are eligible to receive a full refund if the request to withdraw from a program occurs more than one month before the scheduled start date, minus the deposit of $500. If the registrant requests to withdraw within one month of the program start date, a refund for the program may be processed less the charge of one session and the deposit. After two sessions into the program there will be no refund.

Session Packages
Session packages are non refundable and non-transferrable. Session packages expire after one year after time of purchase.

Cancellations

Training Sessions (Individual, Partner, Trio, Small Group)
Session cancellation requires a minimum of 24 hour notice to receive a full refund. In the event that the participant arrives late, the session will still end at the scheduled time.

Team Training Sessions
Session cancellation requires a minimum of 48 hour notice to receive a full refund, minus the deposit. In the event that the participant arrives late, the session will still end at the scheduled time.

On-Ice Private Training (Player, Goalie)
Session cancellation requires a minimum of 24 hour notice to receive a full refund. In the event that the participant arrives late, the session will still end at the scheduled time.

Personal Training Booking + Cancellation Procedures

Personal Training Booking & Cancellation Policy

  • Personal training sessions are valid for one year from the date of purchase
  • Personal training sessions are non-transferrable
  • Refunds will only be granted if the client sustains a medical condition that prevents him/her from continuing with their training. In this circumstance, the client will be required to provide a doctor’s note for verification.
  • The results obtained from any fitness program cannot be guaranteed. Lifestyle behaviours such as smoking, poor diet and sleep habits can adversely affect results. Progress depends on effort both during and outside of the sessions.
  • If the client arrives late for a scheduled session, a full session with the trainer is not guaranteed. If the trainer is late for a session, the client will receive their full session time.
  • A minimum of 24 hours notice is required

ROX SHOP Refund & Exchange Policy

Refunds or exchanges within 10 days of original purchase only. With a gift receipt, a store credit will be issued or exchange offered. Without a receipt, a store credit will be issued for the current selling price of the item(s); photo ID required. If the item is no longer sold, a store credit will be issued at the most recent selling price. Swimwear and sale items are final sale. Shipping charges are not refundable.
